What is on board

Most of this comes as standard on a full size coach. The few items that vary are marked, and anything you specifically need should go in your quote request so we can filter to vehicles that carry it.

Reclining seats

Individual fabric or leather seats in a 2 by 2 layout, with headrests, armrests and footrests.

On-board restroom

Standard on full size coaches, which is what separates this from every smaller vehicle we rent.

Luggage bays

Sealed compartments along both sides, taking roughly one checked bag per passenger.

WiFi

On most vehicles. Bandwidth follows cell coverage, so it thins out on rural stretches.

Power outlets

At or near most seats on newer coaches. Worth confirming if your group will be working on board.

Screens and PA

Overhead monitors plus a driver microphone, useful for tour narration and school groups.

Climate control

Air conditioning throughout, with zoned control on most coaches in the network.

ADA options

Lift-equipped coaches with securement positions, available in most markets with notice.

Charter bus rental prices

A charter bus costs more per hour than any smaller vehicle and less per passenger than all of them. On a full bus it is usually the cheapest way to move a group that exists.

Short local trips are quoted hourly with a five hour minimum, billed from when the driver reports for duty rather than from your first pickup. Longer journeys move to a daily rate with a mileage allowance, or to a per mile rate. Overnight trips add driver lodging, and anything past roughly nine hours of driving needs a relief driver.

Full rate tables, cost factors and worked examples are on the pricing page

These are estimated ranges, not quotes. Your price depends on route, dates, city and availability. Send an itinerary for a firm figure.

What to know before you rent a charter bus

Booking a chartered bus is straightforward once you know what the price covers and what the vehicle physically cannot do. Four things decide whether this is the right choice for your trip.

Charter bus or motorcoach?

In practice these terms describe the same vehicle, and most bus charters companies use whichever word their customers search for. Where a distinction exists, charter bus coach refers to the hired vehicle with a driver, while motorcoach describes the higher specification touring build with deeper seat pitch and a full amenity set. If you have been comparing the two on different websites, you have mostly been comparing the same thing.

It does not go everywhere a car goes

Forty-five feet of vehicle needs room to turn, and it needs somewhere legal to stop. Historic districts, older downtowns, multi-storey car parks and residential streets are all genuine problems. Before booking, check that your pickup and drop-off points can physically take a coach, and send us exact addresses so the driver arrives at the right entrance rather than circling with your group on board.

Idle time is billable time

You are hiring the driver’s day, not just the miles. A charter bus that waits four hours between the outbound and return legs is charging for those four hours, because that driver cannot be anywhere else. Sometimes it is cheaper to release the vehicle and book a second short run in the evening, and a good agent will tell you when that maths works in your favour rather than quietly billing the gap.

Fill it, or size down

The rate is for the vehicle, so 30 people on a 56-seat coach pay the same total as 56 people would. At that headcount a mini coach is almost always the better call. Charter bus trips make financial sense from about 40 passengers upward, or below that when you specifically need the restroom, the luggage bays or the reclining seats for a long journey.

Who is actually driving

Your driver holds a commercial licence with a passenger endorsement and works for an operator with current federal safety authority and commercial insurance. We verify that before an operator can accept a booking through us. You are entitled to ask any charter company for that USDOT number, and any company reluctant to give it is telling you something.

How many people fit on a charter bus?

Between 45 and 56 depending on the model and the seat configuration. Coaches fitted with seat belts or extra legroom carry fewer. Remember that chaperones, coaches and staff count toward the total, which is where most groups miscount and end up needing a second vehicle late in the process.

Yes. Every charter bus rental comes with a professional driver, and their wages are inside the quoted figure. What sits outside it is the customary gratuity of 10 to 15 percent, paid in cash at the end of the trip, and lodging on overnight trips if we have not booked it for you.

Roughly one checked bag per passenger in the undercarriage bays, plus a carry-on in the overhead racks. Sports equipment, instruments and trade show materials take considerably more space, so tell us what is coming and we will confirm whether it fits or whether you need a trailer.

Packed food and sealed drinks are generally fine. Hot food and open containers are not, and alcohol is not permitted on standard charter buses in most states. If you want alcohol on board, a party bus or limo bus is the vehicle to ask about instead.

Four to six weeks for most trips. Three to six months for April through June, which carries proms, graduations and the start of wedding season across the whole industry at once. Last-minute bookings are often possible, they are just quoted from whatever is still available.

Yes. The same vehicle and driver stay with your group for the duration, with overnight accommodation for the driver built into the quote. Federal hours of service rules cap daily driving time, so genuinely long days may need a relief driver, which we price up front rather than discovering en route.

We run multiple vehicles on one itinerary, one invoice and one coordinator, staged so they arrive together rather than twenty minutes apart. For very large groups a double decker carrying 70 to 80 is worth asking about, though availability is limited to certain markets.
